Chargeback proof-out

When a carrier claws back commission, the first question is simple: was I actually paid that commission to begin with? The chargeback proof-out answers it for your entire loaded history at once — not one month at a time. It’s an enterprise feature, turned on per account.

The three find-money questions

The proof-out is unique among the three: the money movement it examines is visible — a negative line on a statement. The question isn’t whether something went missing, but whether the reversal was justified. The other two hunt for what’s invisible: months skipped mid-stream and members never paid at all.

What it proves

For every chargeback (negative-commission record) in the range, the proof-out resolves the policy’s original payment — the month the carrier first paid, the amount, and the actual statement file it came from — and issues a verdict:

  • Paid first — a payment exists on or before the chargeback month. This is your evidence: month, amount, and source statement, ready to cite in a dispute.
  • Paid only after — the only payment on record came after the chargeback. Called out separately so it never masquerades as prior proof.
  • Never paid — no payment for that policy anywhere in your loaded statements. Either a statement month is missing (upload it and the verdict updates), or the carrier charged back commission it never paid — the strongest dispute there is.

Each line also shows whether the clawback is a full, partial, or over reversal of the original payment — over meaning they took back more than they originally paid — plus the policy’s lifetime totals: everything the carrier ever paid vs. everything it clawed back, netted.

In the app

When enabled, a Proof-out tab appears in the Chargebacks section. Summary tiles give the headline — total chargebacks and dollars clawed back, how many are proven paid-first, how many have no payment in your loaded data, and full/over reversal counts — with the full line-by-line table below. Filter by carrier, workspace, or a from/to month range; leave the range open to cover everything you’ve loaded.

Export CSV downloads the whole report as one file — every chargeback with its verdict, the original payment’s month, amount, and statement filename, and the per-policy lifetime totals — ready to hand to the carrier or attach to a dispute.

You can also just ask: with the proof-out enabled, Ask AI answers questions like “were my chargebacks actually paid first?” or “which chargebacks have no payment on record?” conversationally — computed by this same report, with the matching rows and a link back to it.

Reading the results honestly

  • The proof-out is only as complete as the statements you’ve loaded. A “never paid” verdict means no payment in your loaded data — if months are missing from your history, upload them first (the report recomputes automatically from whatever is loaded).
  • One chargeback line = one negative record. A policy clawed back across three months counts three times — that’s the count carriers actually post, so your numbers match theirs.
  • Pair it with the dispute & recovery workflow — any chargeback line on the Chargebacks page can become a tracked dispute in one click.
